1Starting the vote
The proposal reaches the group with the Start voting button: it's pressed by whoever has the “Manage proposals” permission. Before the off, the ⚙️ Voting settings screen lets you choose quorum, majority, abstention and secret ballot — or one tap and the classic vote begins. At the top it shows how many people in the organization are entitled to vote and how many members the group has; if right now only the founder and admins vote because members don't have permission to vote, it says so, and offers the founder and admins 🗳 Let everyone vote.
2The voting keyboard
Under the card: ✅ and ❌ with live counters (and 🟡 if you've enabled abstention), 💬 for the comments, 📎 for the attachments, plus timer and closing for the managers.
3Quorum, majorities, secret ballot
- 🎯 Quorum — the minimum votes for the ballot to be valid: the entitled voters and the group's members help you set it, and if the quorum is higher than the number of group members the screen tells you. Pick 🚫 None, 5, 10, 20 or ⚙️ Custom: you type the number in your private chat with the bot and the screen in the group updates by itself.
- ⚖️ Majority — simple, absolute or qualified ⅔.
- 🟡 Abstention — a third button on the keyboard; abstentions count towards the quorum.
- 🕶 Secret ballot — during the vote you only see “🗳 Voters: N”; the aggregate breakdown comes out at closing.
Non-default settings show up in a ⚙️ line on the card, in the results, in the archive and in the PDF. And once the vote is closed, whoever has “Export data” downloads the votes CSV.
4Timer and closing
⏱ Timer closes it by itself at the deadline (durations like 2h or 1d), with a reminder in the group ten minutes before. ⏹ End closes it by hand, with an optional comment from the manager; if no manager chooses within about three minutes, the voting buttons come back by themselves and the vote stays open. The outcome — approved, rejected or tied — appears in the group.
5Voters' comments
✍️ Comment opens the bot in private: the comment is attached to the proposal like an amendment, visible to everyone via 💬. A new comment replaces the previous one: one vote, one comment.
6Several groups, revote, cancellation
- Several groups at once — one person, one vote: whoever is in several groups votes on the proposal only once. Each group shows its own votes, but quorum and majority apply to the summed total; with a quorum, while other groups are still voting, those already closed show “⏳ Waiting for the other groups”. The proposer gets the summary in private.
- Minutes as a document — once the vote is closed the outcome arrives as a single document: a table of the votes group by group, the total, and every comment from managers and voters in full, in collapsible sections.
- Revoting — whoever manages writes
/proposal 12in the group, taps 🔄 Revote in this group and confirms with ✅ Confirm: that group's votes and comments are reset, the previous outcome stays as a “🔁 Revoted on … — previous outcome: …” line and in the PDF minutes, and ⚙️ Voting settings reopens with the last rules used (locked 🔒 if the proposal is open in other groups too). - ↩️ Cancel vote — stops the vote in progress without recording anything (like
/cancel): the card goes back to “Start voting”.
7Voting an Agenda
An agenda appears as a menu of items, each with its status icon (✅ ❌ 🟰 ⏭ or the number if not yet voted). You tap an item → it's voted with the standard keyboard → it's closed → you're back at the menu. One item at a time, in order or skipping around; items can also be reopened.
When every item has an outcome, Confirm agenda closes the round for that group — and the final report arrives when all the groups have confirmed.
8Commands in the groups
/proposal 12— proposal #12, in its current state (to be voted, in progress, closed)./agenda 5— the same for agenda #5./detail 12(or/detail 5.3) — the full details, of a single item too./votes 12— the vote summary, visible only to you (managers only).
