1What they are
The Library is where founder and admins put rules, statutes, FAQs and links. Members read them inside Telegram.
Tavora AI reads the Library and answers whoever asks. In groups with /ask, in private with a button.
2Resource types
- 📄 Text — a document written inside the bot, in chapters and flip-through pages. Perfect for rules and FAQs.
- 📎 File — PDFs, images, videos, audio: anything you can send on Telegram.
- 🔗 Link — a button that opens an external site.
- 📁 Collection — a folder grouping documents on the same topic (“Minutes”, “Procedures”).
3Writing a document
A 📄 Text document is born as a draft: only those who manage the Library see it, and the AI doesn't read it. You work on it calmly — chapters, pages, up to 3 attachments per page, an emoji as its icon — and when it's ready you tap 🚀 Publish: from that moment members see it and Tavora AI starts reading it.
And the pages are alive: if you use headings, tables, bullet lists, checklists or ==highlighted== in the text, whoever reads them sees them formatted. Write plain text? It stays plain, as always.
For members it's a flip-through book, chapter by chapter. For the AI every page is a separate unit: if someone asks “what's the penalty for being late?”, it quotes the exact page, not the whole statute.
If you create the draft inside a collection, the published document stays there: you don't have to remember to move it.
4Folders
When documents pile up, group them: ➕ Add resource → 📁 Collection (folder), a name, an icon, and you move documents into it from each one's card.
5Who sees what
- 🌐 All — any member sees it (default)
- Specific roles only — only whoever holds one of the roles you pick (e.g. board members only)
- 🗂 Selected departments — the members and managers of the departments you tick (shown if the organization has departments)
- 🔒 Staff and Library managers only — internal material: seen by the founder, admins and whoever has the «Manage Library» permission
The AI follows the same rules: if a member can't see a document, the AI won't quote it to them. With /ask in a group the answer is public, so the AI uses only the documents for everyone and those of the group's department, even when an admin asks: reserved material is asked about in private. And for every document you also decide whether the AI may read it (AI yes / AI no) — handy for historical archives you want readable but out of the answers. Everything can be changed whenever you like from the document's card.
6Asking Tavora AI
- In groups:
/ask+ question. Everyone sees the answer. - In private: open the organization → 🤖 Tavora AI. The answer is just for you.
The AI remembers the conversation: you can follow up (“Who's the chair?” → “And when do they meet?”) without repeating the context. In private, after an answer Tavora AI keeps listening for 15 minutes: just type your next question. 💬 Continue the conversation reopens listening whenever you like, 🧹 Reset memory starts over.
Memories are separate per person, per organization and between groups and private chat: what you ask over there doesn't resurface over here, and nobody sees anyone else's conversations.
7AI Instructions (the staff's rules)
🧠 AI instructions tell the assistant how to behave in every answer: “answer in three sentences at most”, “for payments point people to admin@…”, “formal tone”. The content lives in the documents — the instructions are only rules.
They're managed from ⚙️ AI management → 🧠 AI instructions (the founder, admins and whoever has «Manage Library»). Each one is a short rule written by hand, 500 characters at most. An automatic check rejects the ones that break the policies — you get a ⚠️ and the reason, with a suggestion on how to rephrase.
8What it knows, what it doesn't
It knows
- The documents with AI on, page by page
- The staff's AI Instructions
- The organization's public data and how Tavora works
- Your latest conversation turns
It doesn't know
- What you write in the groups
- Unpublished drafts and the content behind Links
- The internet, other organizations, other people's conversations
And above all: it doesn't make things up. If the answer isn't in the materials, it says so politely and offers to help with something else.
9For founder and admins
At the bottom of the Library, for whoever manages it (the founder, admins and whoever has the «Manage Library» permission, which also opens reserved documents and the AI's answers about them): ➕ Add resource, 📝 Drafts (your private desk), ⚙️ AI management (assistant status, usage, instructions, and where it answers: groups, private chat or both).
On every published document: edit, move between collections, change visibility, AI on/off, delete. During the beta the limits are generous and will be raised on the paid plans.
