30 seconds. Three clicks. Community ready.
Name → mode → approval → «✅ Create organization». From there on it’s your community. Linking groups, inviting members, configuring roles are steps you take whenever you want, at your own pace. No rush, no database, no licenses.
- 01 Start the bot
- 02 Create the community
- 03 Link a group
- 04 Set the language
- 05 Invite members
- 06 First action
Steps 1–2: the 30 baseline seconds. Everything else is optional and progressive.
1Start the bot
Open Telegram, search for @MyTavoraBot and press Start (or write /start). If you don't have any organization yet, in the menu, under the green My space button, you'll see the blue one, Create your first organization. Press it to begin.
If you already have one and want to create another: My organizations → ➕ Create organization.
2Create the community
The procedure is short and linear: 3 steps, one field at a time, no forms to fill out.
- 1
Name
One line. It’s how members will see it in all the cards and messages published in the groups. The founder can change it whenever they like from ⚙️ Management → ⚙️ Settings → ✏️ Rename organization.
- 2
How much Tavora you need
Four modes: 🌱 Essential (Announcements, Events, Tasks), 🌿 Standard (+ Service desk, Library + AI, Forms), 🌳 Full (all 9 features) or 🎛 Custom, where you switch features on and off one by one. At the top there’s «✅ Standard (recommended)», which picks it in one tap: if in doubt, go with that. You can change it whenever from ⚙️ Management → ⚙️ Settings → 🧩 Features.
- 3
Approval, time zone and language
Choose whether new members must be approved by the staff: «Yes, require approval» or «No, open access» (you can change it later from the «Invite members» menu). On the same screen the bot suggests the time zone («🌍 Change» to type your city) and the organization language, which starts from yours («🌐 Change language»). Then «✅ Create organization»: you’re in, with the recommended first steps and the buttons to copy or share the invite link.
Emoji, picture, description and other customizations are set AFTER, not during creation: from the organization menu → ⚙️ Management → 🖼 Customize (the description from 📝 Description). Same for the roles: with the 🎭 Ready-made role kits (Roles menu, founder only) you install a whole set of roles for your context whenever you want. At creation we only ask for the bare minimum to get started.
3Link a group
A Tavora community lives in Telegram groups: that's where you vote, discuss, work on tasks. You need to be an administrator of the group. Add @MyTavoraBot straight away as an administrator — the «Add me to a group» and «Add group» buttons ask Telegram for its admin rights: with a single organization the group links at once, with more than one the bot writes to you privately so you can choose. If you added it as a plain member, promote it to administrator and it offers the link by itself; alternatively tap «🔗 Link this group» under its welcome message, or type /link in the group.
Then switch the group on: a newly linked group starts with tasks and proposals off, and the link message tells you so in private, with buttons that take you there. Tasks are switched on from Tasks → 🔗 Task groups (if the organization has departments, by assigning the group to a department from ⚙️ Management → 🗂 Departments); proposals from ⚙️ Management → 🔗 Groups → 💡 Proposal groups. If you type /newtask in a group that is off, the bot answers with a notice only you can see. A community can link up to 20 groups, each with independent settings. For details see the Linking Telegram groups guide.
4The organization language
You already choose it in the last creation step with 🌐 Change language: it starts from yours and there are 16. Later the founder changes it from ⚙️ Management → ⚙️ Settings → 🌐 Organization language. It’s the language Tavora uses in linked groups (proposal cards, vote outcomes, task cards, minutes) and in the private messages members receive from the organization (welcome, request outcomes, reminders, notices).
5Invite and assign roles
Now you open the community to people. From the organization menu open Invite members: there’s the invite link, with 📋 Copy link and 📤 Share; with ♻️ Regenerate link the old one stops working. With open access, whoever opens the link walks straight into the community. For people already in the linked group there’s the /add @username command: it adds them directly, with no acceptance step. The manual approval you chose at creation is switched on and off from the same Invite members menu: while it is on, every new join waits for the staff’s OK, and the staff accept one by one or all at once. A request nobody answers expires after 7 days, and whoever is waiting can withdraw it with ↩️ Withdraw request.
Roles are how you give different powers to different people: Founder, Admin, Member system roles plus up to 20 custom roles — each with its own emoji and permissions. Tavora always respects the role hierarchy: no admin can remove anyone above them, and every ban is tracked with author and date. Full details (the 18 granular permissions, search, request management) are in the Roles and permissions guide and the Members guide.
6First action
You have the community, you have the group, you have the first members. The advice now is to run the loop at least once, even as an experiment. You understand Tavora by using it, not by reading.
A proposal
You need the Proposals feature on (🌳 Full mode, or ⚙️ Management → ⚙️ Settings → 🧩 Features) and the group switched on for proposals. Then, in private, from the organization menu: 📮 Service desk → 💡 New proposal. Publish it in the group, open the vote, get votes, export the PDF. For the full flow: Proposals and Agenda guide and Voting guide.
A task
First switch tasks on in the group (🔗 Task groups), then type there: /newtask Test first task !high @someone 30/04. Card created, assignee, due date. Close it with /done and the task number. Commands and advanced features: Tasks — In groups guide and Tasks — In private guide.
7Announcements: targeted and scheduled
When there's something to tell everyone — or just a few people — you don't need to rewrite it group by group: from the community menu press Announcement, first decide who receives it, then write the message once and choose when it goes out.
📣 Targeted announcements
Pick the audience: 👥 All members (in private), 🏷 By roles (in private, only to those with at least one of the chosen roles) or 📢 In the groups, that is, direct publication in the groups you choose. Before sending you see the recipient count: you know exactly how many people you'll reach.
🕐 Scheduling
🚀 Send now, or 🕐 Schedule: pick day and time from a calendar inside the message, in the organization's time zone. Scheduled announcements stay visible — and cancellable — in 🕐 Scheduled. Sending runs in the background without blocking the bot and, for scheduled announcements, once delivery is complete you get a confirmation in private.
8Practical tips
Six practices that make a difference, all based on features the bot really has:
If in doubt, start with Standard
Features can be switched on and off whenever you like (Management → Settings → 🧩 Features): better to start light and add later, than to drown in menus. And for the roles there are the 🎭 ready-made Kits.
Separate "leadership" group
Create a second group (executive board, section heads, etc.) linked to the same community. Operational decisions there, public groups for communications and open votes.
/add command for direct invites
To bring in people who are already in the group use /add @username: the bot adds them directly to the organization, with no link and no acceptance step. Faster than the generic link for contacts you already know.
Pin the task dashboard
Publish the dashboard in the leadership group and pin it: it auto-updates every 2 minutes giving leadership a constant view, without having to search manually.
Async and sync together
It's not either/or. Use async for daily work (tasks with deadlines, proposals open to members) and switch to sync when you have a formal meeting: agenda with ordered items and live voting, minutes at the end of the session.
Export to PDF after every decision
Every closed vote or task cycle you export as a verifiable PDF: it carries a verification code, and whoever receives it sends it to @MyTavoraBot in private to find out whether it is authentic or has been modified. Solid archive, reusable if needed.
Setup complete.
The community is alive, the loop is running. The other guides go deeper into every aspect: groups, members, roles, customization, proposals, voting, archive, tasks in private, tasks in groups.
