Connecting Telegram groups

Telegram groups are where voting happens and where you use group commands. An organization can link up to 20 groups, and each one only gets the features you turn on for it.

1What groups are for

A Tavora organization lives in the Telegram groups you link to it: that's where members vote on proposals, get tasks, events and announcements, and use commands like /board, /newtask, /done.

You can have several groups in the same organization — one for members, one for the board, one for each department — each with its own features turned on. Maximum 20 groups per organization: the limit cannot be raised, so to link another group you first have to unlink one.

2Method 1: add the bot to the group

Linking a group takes two things together: the «Link groups» permission in the organization (the founder and admins already have it) and being an administrator of the Telegram group. The bot must be an administrator of the group too.

The quickest way: tap «Add me to a group» (at the end of creation) or «Add group» (on the bot's home) and pick the group. Telegram asks you right away to give the bot administrator rights: confirm and the bot joins already as admin. If you have only one organization, the group links immediately; if you have more than one, the bot writes to you in private so you can choose (your organizations' names never appear in the group).

If you add the bot as a plain member instead, promote it to administrator: as soon as you do, it offers the link by itself. Alternatively tap «🔗 Link this group» under its welcome message, or write /link in the group: same behaviour (one organization → linked immediately, several → the choice arrives in private). If you are an anonymous admin, /link answers with the «🔗 Link this group» button: tap it and the link is made in your name.

3Method 2: link with the group ID

If you'd rather do everything from the private chat with the bot:

  1. Add the bot to the group and promote it to administrator
  2. In the group, as an administrator, use the /chatid command to read the group's numeric ID
  3. In private chat with the bot, go to «⚙️ Management» → «🔗 Groups» → «➕ Link group» and paste the ID, minus sign included (e.g. -1001234567890)

A group already linked to another organization is not moved. Channels cannot be linked: Tavora works only in groups. When you reach 20 groups, «➕ Link group» disappears from the menu.

4Turning features on and setting up the group

A newly linked group starts with everything off: no proposals, no tasks, no Service desk notices until you turn them on. Each feature is turned on from its own menu:

  • Proposals — «⚙️ Management» → «🔗 Groups» → «💡 Proposal groups»: tick the groups where proposals are published and voted on. It needs «Link groups» and the «Proposals and voting» feature turned on; with the Service desk on, the same list also opens from «📮 Service desk» → «🔗 Destination groups» → «💡 Proposals». In a group with proposals on, anyone with the «Create proposals» permission can propose.
  • Tasks — «Tasks» → «🔗 Task groups»: decides where task commands, the feed and the digest work. With departments the list is per department, and assigning a group to a department («🗂 Departments» → department → «👥 Groups») turns tasks on there. After the first department, groups without a department have no tasks or shifts until you assign them.
  • Service desk notices — «📮 Service desk» → «🔗 Destination groups» → «🙋 Requests» / «🚩 Reports»: the group gets only a short arrival notice, never the content or the name of whoever wrote.

The settings of the group itself open from «⚙️ Management» → «🔗 Groups» by tapping the group's number, or by writing /settings in the group (then the panel responds only to whoever opened it). It needs «Link groups». They apply only to that group:

  • Pin proposals — pins at the top the proposals published in this group
  • «🚪 Organization access» — automatic join and leave: whoever joins the group can be added to the organization or invited to join it, and whoever leaves can be removed from it
  • «🗑 Unlink group» (inside the group it is called «🔓 Unlink group»), with confirmation
Proposals and tasks are not turned on from the group panel: they are turned on from their features' menus (see above). The language the bot writes in groups is one for the whole organization: «🌐 Organization language», in «⚙️ Management» → «⚙️ Settings». At the bottom of the panel the bot also warns you if it is not admin in the group or cannot pin messages.

5Unlinking a group

To unlink a group: «⚙️ Management» → «🔗 Groups» → tap the group's number → «🗑 Unlink group», or /settings in the group → «🔓 Unlink group». You'll be asked to confirm. Votings still open in that group close with the votes collected so far, which stay in the outcome, and the proposal's author gets a notice. The organization's data stays.

If the bot is removed from the group, the link is cancelled automatically and everyone with «Link groups» gets a private notice with the group's name and the «🔗 Groups» button. Proposals and tasks already archived are not lost.

If the bot loses its administrator rights, the group stays linked but pinning messages, removing members and creating invite links stop working: whoever has «Link groups» gets a private notice, at most one a day per group. The same happens if the bot can no longer write in the group.
