1What they are
Organization menu → 📅 Events. In the connected groups, /events shows every member the agenda of the events they can attend, and they answer right there.
2Creating an event
Created by the founder, the admins and whoever has “Manage events”. ➕ New event opens a card with fields: only 📌 Title and ⏰ Start are required. The start is picked from a calendar inside the message (the day, then one of the suggested times, or ⚙️ Custom to type it); the ⏳ End is a duration of 1, 2 or 3 hours from the start, or you type it yourself. Times are in the organization's time zone (if it has none yet, the bot asks for it first with 🌍 Set time zone), and readers see them in their own zone. Then description, location, capacity, attachments. It stays a draft until you tap 📣 Publish.
3Audience and delivery
With 🎯 Audience you choose who sees it and can answer: “The whole organization”, “Staff only” or “Selected roles” — the general assembly for everyone, the board meeting for the board only. Then, from 🔗 Share, you get it out:
- 📢 Send to groups — a clean announcement with the answer buttons inside the message and only the numbers next to them: who answered what never appears in the chat. For a restricted event the groups don't all start ticked, the bot reminds you that everyone in the group will see the card, and the announcement says who it is reserved for.
- 🔔 Notify eligible (DM) — a private message to everyone entitled, with the ✅ Respond button.
- Open join (only with the audience “The whole organization”) — a switch inside 🔗 Share: when it's on, whoever opens the event link joins the organization and answers right away, a way to grow your groups. If the organization requires approval, the link sends an access request that a manager has to accept. The switch and ♻️ Regenerate link (the old link stops working) belong to those who also have “Manage members”. It only lets people into that organization.
4How people answer
People answer from where they are: the three buttons — ✅ I’m in, 🤔 Maybe, ❌ I’m not coming; in the group just the icon with a number next to it — are in the group announcement, in the private card and in the /events agenda. From the group, only you see the confirmation; 🙋 Open in private leads to the full card, with attachments and Google Calendar. The answer can be changed whenever, and tapping the one already given again withdraws the RSVP, freeing the seat.
5Capacity and waiting list
With a maximum number of seats, Tavora counts on its own: once they run out, new RSVPs go to the waiting list in order of arrival. If somebody drops out, the first in line gets in and receives a private notice, with date, time and the 📅 Open event and 📅 Google Calendar buttons. Zero manual work.
6Reminders and check-in
Whoever said “I’m in” or “Maybe” gets automatic reminders in private (24 hours before, 1 hour before and at the start, at fixed times), with the organization's name at the top. Whoever answers from the group without ever having started the bot is told so in the confirmation, with the ▶️ Start and open the event button.
The ✅ Attendance check-in can be done whenever you like, even after the event: the list of confirmed people in alphabetical order, you tap the number next to a name and the attendance count updates. With 🔍 Search (by @username, name or ID) you find someone at the door in a few taps.
7Recurrence and your events
The monthly meeting doesn't need recreating by hand: the 🔁 Recurrence field (weekly, every 2 weeks, monthly) and when the event starts the next one is born on its own — same setup, answers reset, local time kept constant — and its announcement goes out again in the same groups. To skip a date (holidays), 🚫 Cancel event asks 🚫 Only this date or 🛑 Whole series; to end the series there's 🛑 Stop the series.
- 📅 Google Calendar — a button on the card and in the reminders: the event pre-filled in your own calendar.
- My events — in your profile: the events you said I’m in or Maybe to, those you're waitlisted for and those where you were marked present, across all your organizations, with their status.
8Managing and history
From the card you see the counter and, in 📋 Who responded, the names split by answer (yes / maybe / no / waiting). If you change the date, end or location of a published event, the group announcement renews itself: the old one closes with “🔄 Event changed: see below” and the updated one arrives underneath. 🚫 Cancel event takes it out of the way while keeping the answers; ♻️ Move back to draft if it's postponed rather than dropped.
Past and cancelled events live in the 📜 History, searchable and filterable — and 📑 Duplicate makes a new one, ready to go.
