Guide

Members

One record per member: who they are, what they've done, which groups they're in, staff notes, sanctions and commendations. You manage them, invite them to the right groups, remove them when needed — and every action leaves a trace.

1Member list

From the main menu → Members. Everyone has the button: ordinary members always see who the founder and admins are (read-only), and if the founder switches on “👥 Member list: visible to all members” (in Members → 🧰 Tools) they see the full list, with no tools. The rest of this guide is about the staff.

Tap a member's number and they're selected (up to 50). 📋 Details (N) opens their record (1 selected) or the bulk actions (2+): one confirmation and a note, warning, tag, role, group invites or removals and bans apply to all of them.

  • Combinable filters: role, tag, group (who's in — or who's missing), department.
  • 🔍 Search by @username, name or ID — it copes with typos too.
  • 🧰 Tools — one single button gathering Joins/leaves, 📤 Export (a CSV for Excel or a TXT list), 🏷 Tag catalog, 🚫 Banned, 👤 Former members (founder and admins only: the file of whoever left or was banned, to read or clear) and the list's visibility. The notifications for join requests, instead, are switched on or off with 🔔 Request notifications, under the notice itself or in ⚙️ Management → 📬 Requests, each person for themselves.

2Member record

The hub of everything about that person: details, role, join date, groups, and an 📊 Activity block with proposals, votes, events, forms — all of it about this organization only.

  • 📝 Internal notes — staff memos with attachments, pinnable to the top.
  • 🌟 Recognitions (commendations) and ⚠️ Warnings (sanctions) — see the dedicated sections.
  • 🏷 Tags — coloured labels, with emoji, up to 20 per organization.
  • 📜 Activity — the full history, filterable.
  • 📋 Their tasks — completed and in progress, with punctuality.
  • Manage groups — see the next section.

At the bottom: edit roles, ban (organization only, or organization + groups) and 🧹 Clear dossier — founder/admins only: it wipes notes, sanctions, tags and pending invites, with a preview and a confirmation. The text of notes and sanctions disappears from the Activity, but who did what and when stays; the joins/leaves history and the recognitions stay too, and the clearing itself is recorded.

3Group management

From the record → Manage groups: ➕ Add to groups (you pick the groups and the bot sends the links privately to the member) or ➖ Remove from groups (a soft removal: they can come back with a new invite). Next to each group you see the real status: already a member, invite pending, banned, bot without permissions.

4Sanctions and auto-ban

From the record → ⚠️ Warnings: you write the reason and the member gets a private message with the full text. They can review them whenever they like from their profile — without the staff's internal notes.

The founder can set an automatic ban threshold (from 🚫 Banned): when a member reaches it the bot never bans on its own, but asks whoever can ban to choose between “⚠️ Warning only (no ban)”, “🚫 Warning + ban (org only)” and “🚫 Warning + ban (org + groups)”. The hierarchy protects everyone: the founder can delete any sanction, an admin all except those of other admins and the founder, everyone else only their own.

5Commendations

The flip side of sanctions: a certificate for whoever pulls their weight. The member receives it privately with the organization's name, and it stays visible on their profile. Formatting and premium emoji supported.

6Organization statistics

Management → 📊 Statistics (founder and admins): membership and movements over the last 30 days, engagement, top contributors, moderation, participation percentages — and the 📦 Features section: for each tool (events, forms, service desk, shifts, library, departments, groups) what is open right now and what has moved over the last 30 days. The state of health in one screen.

7Joins/leaves history

From 👥 Members → 🧰 Tools → Joins/leaves: the diary of joins, leaves and bans since the organization was born, with filters by event type and period. Every row says who, when, by whose hand and why.

8Adding members

  • Invite link — from the Invite members menu: whoever opens it joins, or lands in a queue if you've switched on manual approval (you accept or decline from ⚙️ Management → 📬 Requests, all at once too). A request nobody answers expires after 7 days (the person is told), and whoever is waiting can withdraw it with “↩️ Withdraw request”.
  • /add @user1 @user2 — from a connected group: it adds whoever is already in there, straight away.
  • Automatic entry from the groups — configurable per group: whoever joins the group joins the organization.

And to hand the organization to someone else: ⚙️ Management → ⚙️ Settings → 🔁 Transfer ownership (founder only): you pick the new owner from the member list and they have to accept from the bot. Once they accept, you leave the organization: to come back you rejoin with the new invite link, as an ordinary member.

9Member Management AI

Almost everything you've read can also be done by talking to an AI reserved for the founder and admins: lists, tags, roles, invites, bans (organization only, or organization + groups), messages to members — in plain language. On one person it acts straight away; on several people (and for messages and announcements) it asks for your written confirmation first (up to 20 recipients per action), and every action is logged. There's a dedicated guide: 🤖 Member Management AI.
